Cancellation Policy – Oakwood Resort

Standard/Deluxe Rooms and Suites

  • Cancellation 14+ days before arrival: Full refund.
  • Cancellations 7-13 days before arrival: 50% refund.
  • Cancellations less than 7 days before arrival: Non-refundable.

Cottages

  • Cancellations 30+ days before arrival: Full refund.
  • Cancellations 14-29 days before arrival: 50% refund.
  • Cancellations within 14 days of arrival: Non-refundable.

Group Rooms

The deposit is non-refundable. Full terms are provided in your event contract.

No-Shows

No-shows are charged at the full cost of the reservation.

Non-Refundable Rate

If booked with a non-refundable rate, no refund or date change is possible.

We understand plans change. If your situation is not covered above, please call us at 1-800-387-2324. Our team will do our best to find a solution.

Check-In Requirements and Identification

  • All guests under the age of 25 who are traveling without a parent or legal guardian may be asked to present valid government-issued photo ID upon check-in.
  • Any and all occupants in the room can be asked to produce identification to confirm compliance with this policy.
  • If any guest is under the age of 19, a parent or legal guardian must provide a copy of their driver’s license (for address verification) and an email of consent stating that they are permitting their child or ward to stay at Oakwood Resort.
  • The named reservation holder must be present at check-in and meet all policy requirements.

2. Security Hold

A damage/security hold will be placed on your card at check-in:

  • $100 for credit cards
  • $250 for debit cards

The hold will be released within 5 to 7 banking days after checkout, provided there are no damages or policy violations.

3. Payment Method Policy

  • Guests must present the same physical card used to pay the deposit at the time of check-in.
  • If the payment method has changed, Oakwood Resort will refund the deposit to the original card and collect the full cost of stay on the new card, including the applicable security hold.
  • Accepted payment methods include Visa, Mastercard, Discover, and Visa Debit.
  • We do not accept tap, Apple Pay, or cards outside these networks, and the physical card must be presented.
  • Guests are required to insert their card and enter their PIN for secure transaction processing. This method is more secure than tap, as it requires encrypted chip validation and personal authentication, reducing the risk of fraud or misuse.
